Speed has evidence behind it.

Harvard Business Review published research showing that many companies were not responding to online enquiries fast enough. A related lead-response analysis, based on more than 15,000 web leads and 100,000 call attempts, found the best contact rate within five minutes and a steep decline after that window. These are broad sales-lead findings, not a promise for every local business or enquiry.

Measure the gap before automating it.

Export a week of enquiries and record: received time, first human or automated acknowledgement, qualified time, booked time and outcome. Split the report by channel and opening hours. This turns “we answer quickly” into a measurable median and a visible queue of leads still waiting.

Automate the hand-off, not the relationship.

A useful first layer can acknowledge the message, collect the minimum required context, route it to the right person and create a task. The workflow must clearly say when a person will reply, preserve escalation paths, and keep a human responsible for pricing, exceptions and sensitive requests.

A practical service-level target

Set a target that your team can actually keep: immediate acknowledgement, a defined human response window during operating hours, and an explicit next action. Monitor the share of enquiries answered within target, not only the average; an average can hide a long tail of forgotten leads.

Keep consent and platform rules in view

Do not turn a helpful response flow into unsolicited messaging. Keep permissions, data retention and communications policy clear, and check the current terms of every messaging platform you use. Automation should make it easier to serve a customer who contacted you, not create a reason to contact people without a basis.
